I had a great meeting with Mark today, and he brought up several things I hadn't thought of. Here is a rather unorganized summary of items:
Housing/accomodations
LU guest house housing (both) is out because they are needed for other important things (like H1N1 quarantine)
Mark suggested reserving a block of rooms at the Paper Valley (they would prob. want confirmations by early April)
Mark suggested finding local alumni to host people in their homes (find them first, obviously). This may be esp. important for those who don't have the means to stay in a hotel
Sherri gave me common places LU uses and rates information (it is copied onto the accommodations page)
Sherri suggested contacing Chris Church at the chamber of commerce, Jackie Crawl at the Copper Rock
Venue: Mark suggested using Hurvis but also reserving Esker so that we could open to a second room if we had more than (I think 139). I spoke later with Jodie in the campus center and she has penciled us in. Greg Griffin would prefer we not use Sommerset (the large lounge) because it is too big and requires extensive set up. Megan (student leader) made the reservations last week.
the alumni office is going to help with the mailing.
Sherri has found activity codes for both LCF and FCA (but not for Campus Crusade, though there may be some of those folks -- from the late 80s -- who would like to participate). She has already sent me a list to cross check with mine. My plan is to set up a shared doc (a spreadsheet) that all committee members can access and edit/modify/add to.
The plan is to get at least one wave of email invitations out next week, then mail those for whom we do not have email. We need to provide the email text as well as the invitation letter. They can print envelopes directly and print the color logo on an invitation
Mark suggested we skip the "save the date" early mailing and just to straight for the invitation, esp. since the idea is to register online at this site. BUT to do that we probably need more detailed information for banquet prices, etc.
